WhatsApp Business app vs API: which one does your business need?

WhatsApp offers businesses two products with confusingly similar names: the WhatsApp Business app, a free app for your phone, and the WhatsApp Business API, which Meta now calls the WhatsApp Business Platform. Both use your business number, but they're built for very different sizes of business. Here's how to choose.

Setup Minutes About 15 minutes with a provider, plus Meta business verification

The WhatsApp Business app

The app is perfect when you're starting out. You get a business profile, a catalogue, labels, quick replies and automatic greeting and away messages, all free.

It starts to hurt when:

  • Several people need to answer, and passing one phone around (or sharing linked devices) gets messy
  • You miss messages at night or on busy days because nothing answers automatically
  • Broadcasts don't reach people, because they only go to contacts who saved your number
  • You can't see who your best customers are, or what chats turned into sales

The WhatsApp Business API

The API has no app of its own. You use it through a provider, which gives you the inbox, automation and reports. With a tool like AICustomerPilot that means:

  • A shared inbox: your team replies from one number, assigns chats and leaves internal notes
  • AI replies: answers from your website, catalogue and FAQs, around the clock, handing tricky chats to a person
  • Broadcasts that scale: send approved templates to opted-in customers and see who read, clicked and bought
  • A CRM that fills itself: every chat becomes a customer profile, and sales show up as deals

The trade-off is cost: Meta charges for template messages, and you pay for the provider. See WhatsApp API pricing, explained for how the fees work.

When to switch

Move to the API when any of these is true:

  1. More than one person needs to reply to customers
  2. You get more chats than you can answer within an hour or two
  3. You want to send broadcasts to hundreds or thousands of customers
  4. You want AI or automations to answer common questions
  5. You need to know which chats, campaigns or team members bring in sales

Can you keep your number?

Yes. You can move your existing number to the API, so customers keep messaging the number they know. With Meta's coexistence option, supported by some providers, you can even keep using the WhatsApp Business app on the same number alongside the API. Our guide on how to get the WhatsApp Business API in India walks through it.

Frequently asked questions

Is the WhatsApp Business API better than the app?
For teams and growing businesses, yes: it adds a shared inbox, AI, broadcasts to opted-in customers and reports. For a one-person business with a few chats a day, the free app is often enough.
Do I lose my chat history when I switch?
If you move your number fully to the API, old chats stay on your phone but don't move to the new inbox. With coexistence, recent chat history can sync to your provider.
Do I need a green tick to use the API?
No. The verified badge is optional and is now part of Meta Verified for businesses. You can use every API feature without it.
Can I use both the app and the API?
Yes, on the same number with coexistence (if your provider supports it), or on two different numbers.
